What's the job?

Working as a receptionist you will be the ambassador of the BlueRock brand and the first point of contact for our clients and visitors. You will also will provide administrative support across the organisation. You will handle the flow of people through the firm and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

Responsibilities include but not limited to:

  • Warmly welcome clients and visitors, determining their needs and ensuring that these are met in an efficient and friendly manner.
  • Working directly with and supporting the Office Manager and the Operation team to complete administrative tasks when required – related to Corporate Services, maintaining client files, data entry, billings process, supporting the Accounts team.
  • Providing support to the Events Coordinator when necessary, including the organisation and planning of professional and social events, organising catering
  • Basic administrative support to all BlueRock divisions – including use of APS, ATO portal and general troubleshooting when necessary.
  • Promptly attend to incoming phone calls, forward calls to appropriate staff members and accurately record and distribute messages when required staff members are unavailable.
  • Maintain the front reception area.
  • General housekeeping duties across the offices
  • Assist with room bookings, meeting preparation and any additional reception support required.
  • Coordinate and pick up catering when requested.
  • Assist coordinate employee lunches and lunch cards.
  • Banking for all cheque payments from clients.
  • Binding, scanning, photocopying for firm employees as requested.
  • Managing incoming and outgoing mail

Who we are looking for?

  • Previous experience as a receptionist within a professional services firm is highly regarded, although not essential – we can train you up, if you're the right person for us!
  • Strong interpersonal and communication skills is essential for this role. You will be required to liaise with clients, and also managers and directors within the business.
  • Excellent time management and organisational skills
  • Strong Microsoft Office skills
  • You must be very productive, have an energetic work ethic and possess a sense of initiative and strong problem-solving skills
  • Is resilient, independent and can work autonomously but will seek direction when required.
  • A passionate team player who isn't afraid of hard work!
