Our Company who provides leading contractual cleaning and maintenance solutions to the Public Transport network across Australia has experienced phenomenal growth over the last 12 month’s is looking for a switched on executive assistant with an eye for detail and passion for excel reporting to join our Head Office located in Bulleen.

Summary

The successful applicant will provide high-level administrative support to our company executives (Managing Director, Operations Manager, Environmental Health, Safety & Protection Manager and Officer Manager by preparing statistical reports, data entry handling information requests and performing clerical functions such as preparing email and telephone correspondence and scheduling meetings for executives.

Essential Functions

  1. Type reports, memos, letters and other documents using word relevant computer software.
  2. Answer phone calls and direct calls to appropriate parties or take messages.
  3. Record, type and distribute meeting minutes.
  4. Greet visitors and determine whether they should be given access to specific individuals. ?
  5. Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
  6. Perform general office duties such as ordering supplies and maintaining records management database systems.
  7. File and retrieve corporate documents, records and reports.
  8. Open, sort and distribute incoming correspondence, including faxes and email.
  9. Make travel arrangements for executives.

Supervisory Responsibility

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m.

Travel

No overnight travel is expected for this position. There may be occasional local day travel.

Required Education and Experience
